As the administrator you will provide support to the Medical Director’s team and other senior staff as necessary to provide a smooth and effective administrative support within a busy and diverse, multi-disciplinary team.
There is no direct line management responsibility within this role. The post holder will work within the wider executive support team, providing cross cover as and when required.
Responsibilities of the role will include:
To provide efficient and effective administrative support on a daily basis to the Associate/Deputy Medical Directors, and where appropriate to other senior clinicians within a diverse and multi-disciplinary team.
To co-ordinate meetings and ensure accurate diary entries for the Associate/Deputy Medical Directors, and where necessary provide administrative support to meetings.
Manage correspondence, both paper and electronic on behalf of the team and process accordingly.
Provide and receive routine information as part of the job role in support of the Deputy/Associate Medical Directors.
Use of Microsoft packages on a daily basis.
To ensure accurate, specific and timely exchange of information between management, clinicians and other medical staff using clear and concisemunication.
To deal in a professional, tactful and discreet manner with sensitive and confidential matters, ensuring that confidentiality is maintained at all times.
Establish and maintain effective working relationships with managers, clinicians and all other staff in relation to the job role.
Plan and organise own time and prioritise own workload around deadlines.
To be successful in this role you will:
Skills and knowledge in the use of Microsoft Packages e.g. Word, Excel, Powerpoint and Outlook.
Ability to organise and prioritise own workload with minimal supervision.
Previous administrative experience, in a busy environment withpeting demands.
Experiencing of maintaining diaries and organising meetings.
Able to work as part of a multi-disciplinary and diverse team, under pressure and to tight deadlines.
